Register Site walk-ins


Site walk-ins can be registered as one of the following three cases:

  1. Customer Self Check-in: When Customer walks into the Site office without accompanied by any Channel Partner
  2. Customer with Channel Partner: When Customer walks into Site office accompanied by a Channel Partner.
  3. Channel Partner visit: When a Channel Partner visits Site without any Customer.

Customer Self Check-in:

This is used when Customer walks in without being accompanied by any Channel Partner.

The customer starts by entering a valid phone number in the given field.

A form for filling customer's details opens up. The customer completes the form and clicks on Next.

Note: 

1. In case a customer has already been registered, the form will be auto populated with the customer details.

2. The fields in the form can be customized through mandate settings panel.


On clicking next, customer requires to fill the source information. After providing the mandatory source information, the customer clicks on "Done".


 

Clicking Done, the registration process is complete. The screen displays a token number for the customer.





Customer with Channel Partner:

This is used when a customer walks-in accompanied by a Channel Partner.The customer starts by entering a valid phone number in the given field.

A form for filling customer's details opens up. The customer completes the form and clicks on Next.

Note: 

1. In case a customer has already been registered, the form will be auto populated with the customer details.

2. The fields in the form can be customized through mandate settings panel.

 

On clicking next, customer requires to fill the Channel Partner information. After providing the Channel Partner information, the customer clicks on "Done".


Clicking Done, the registration process is complete. The screen displays a token number for the customer.



Channel Partner visit:

This is used when only a Channel Partner visits.The channel partner enters his or her phone number.

If a channel partner already exists in the system based on his/her registered number, the form will be auto populated with Channel Partner's details. In case of a new Channel Partner creation, select the option "Add XYZ as Channel Partner" from the "Name" drop down. The Channel Partner completes the form and clicks on next.





Assigning Agent


Once the visit has been registered by the customer or the channel partner, the Site Registrar proceeds with assigning an agent to the visit.


All the visits registered are visible to the Site Registrar on the Registration List.

The Site Registrar clicks on "Assign Agent".


The next screen provides options to enter the Sourcing and Closing agent details.


Sourcing Agent: This is usually the first sales rep who works with the lead when they visit the site. This is optional and the agent who'll move ahead with negotiating the deal with the lead may be different from the sourcing agent. The sourcing agent will be able to view the lead on their app, but not make changes, schedule events, or change the status of the lead. 


Closing Agent: The sales agent to who this lead will be assigned. The lead will show-up under the 'Visit done' section of the agent's app.


 

Once the agent has been assigned, the site visit is initiated.


Scroll further down to add Feedback and mark the Site Visit as done.

Note that it's mandatory to add Feedback in order to activate the Mark as Done button.



Create Site Visit through Site Registration


It's possible to create additional Site Visits through the Site Registration website.


Search for an existing lead on the home page using the phone number, and click on 'Create Site Visit' button on the upper right hand side of the lead info panel.


Note that it won't be possible to create a new Site Visit while there's already an ongoing Site Visit with the lead.


Adding Site Registrar

The above functionalities of Site Digitization can only be accessed by registered Site Registrar. Site Registrar can be assigned using the Site Registrar Details section on the mandate settings panel. 


Under Site Registrar Details section, multiple users can be added as Site Registrar. Search for a Site Registrar name and click "Add Now". And clicking on "Save Changes to this Mandate" saves the changes done.

Or use the "Delete" button to remove a user from Site Registrar.


Only the users registered under Site Registrar Details section for a particular mandate, can login to "Site Digitization" (https://registration.<your-domain>.com).
